Custom Napkins for Company Anniversaries: Design, Quantities and Timing
A company turns 10, 25 or 50 once. The party is planned for months: the venue, the speeches, the catering, the photographer. Then, on the night, guests hold a plain white napkin with their drink. It is a small gap, but it sits in every hand and in every photo.
Custom napkins for company anniversaries close that gap. They carry the anniversary logo, the number and your corporate colors from the welcome drink to the last toast. This guide explains how to design them, which formats each moment needs, how many to order and when to order them. It also covers what event managers ask before they commit: minimum order, lead time, color matching and invoicing.
Why the napkin belongs in your anniversary plan
An anniversary is a brand moment. Employees, clients, partners and sometimes the press are in the same room. Everything they touch says something about the company.
- Every guest holds one. Few event items reach every hand. The napkin does, often several times in one evening.
- It is in the photos. Toasts, buffet shots and team pictures catch the napkin in the frame.
- It carries the date. An anniversary logo with the year turns a napkin into a small keepsake.
- It connects the moments. The same design on cocktail, buffet and dinner napkins ties the whole event together.
A single design across every format looks planned. Mixed plain napkins look improvised, however good the rest of the event is.
What to print on anniversary napkins
The napkin is small, and guests glance at it for a second. One clear message works better than three competing ones.
- The anniversary logo. Many companies create a special mark for the year, such as the logo with “25 years”. It is the natural first choice.
- The founding year and this year. “1996–2026” tells the story in two numbers. It reads well even on a cocktail napkin.
- A short claim or motto. Three to six words that sum up the anniversary theme. Keep it shorter than a slogan.
- The event hashtag. Guests who post photos then tag the event correctly. One line, large enough to read folded.
- A historic image. The first shop, the first product or the founders. Photos need Full Color printing on white napkins.
Avoid long texts, full addresses and lists of sponsors. They shrink the logo and nobody reads them on a napkin.
Corporate colors matter. Send your Pantone reference or brand guidelines. The team matches your corporate color on paper, so the napkins sit comfortably next to your banners and booths. The napkins with logo page shows how logos are adapted to napkin formats.
Formats for each moment of the celebration
An anniversary usually moves through several moments. Each one suits a different size.
| Moment | Recommended size (open) | Folded size | Suggested paper |
|---|---|---|---|
| Welcome drink and cocktail | 20×20 cm | 10×10 cm | 2-ply or 3-ply |
| Standing buffet, canapés | 24×24 cm | 12×12 cm | 2-ply or 3-ply |
| Coffee break during talks | 24×24 cm or 30×30 cm | 12×12 or 15×15 cm | 2-ply |
| Seated anniversary dinner | 33×33 cm | 16.5×16.5 cm | Double Point |
| Gala dinner, formal service | 40×40 cm or Kangaroo fold | 20×20 cm | Airlaid |
Sizes are always given open. A napkin folded in four shows about a quarter of its surface, so the logo goes on that quarter.
One label causes confusion: “20×20”. It can mean a small 20×20 cm cocktail napkin or a 40×40 cm dinner napkin folded to 20×20 cm. Always confirm the open size before approving the quote.
See the papers before the board does. Request the free sample pack: 5 printed napkins in 3 different finishes plus a size guide. The pack is free; you only pay the shipping, billed as one small FedEx box ($149.57 Economy or $196.90 Priority).
How many napkins to order
The count depends on the format of the evening. A simple method keeps you from running short.
- Start from the guest list. Use the confirmed number, plus a margin for late additions.
- Count the moments. A cocktail, a dinner and a late drink are three separate uses.
- Estimate per guest and per moment. Standing events with finger food use more napkins than seated dinners. Ask your caterer for their usual figure.
- Add a reserve. Keep extra packs behind the bar and at the buffet for spills and refills.
- Split by format. Order the cocktail and dinner sizes as separate lines in the same order.
A worked example: a company with 180 guests plans a cocktail, a seated dinner and a late drink. The cocktail and late drink use 20×20 cm napkins; the dinner uses 33×33 cm Double Point. The event manager counts guests, moments and a reserve with the caterer. Then they send one order with both sizes and the same anniversary logo. One order means one FedEx shipment packed in as few boxes as possible: a large box holds up to 2,000 napkins and costs $172.79 with Economy. Import duties, the Merchandise Processing Fee and any state or local taxes are paid on arrival (DAP).
Large events are not a problem. An anniversary with 1,000 guests or more is produced in the same 7 business days; FedEx shipping and customs clearance then follow as for any order. The corporate event napkins page covers larger formats in more detail.
Choosing the print type
Three printing types cover almost every anniversary design. The printing inks guide includes a decision matrix.
- Full Color (digital CMYK). For photos, gradients and multi-color anniversary logos. White napkins only. No plate fee. From 20 units.
- Deluxe 1-ink. One spot color with a metal plate. Crisp and saturated, on white or colored napkins. From 100 units. One-off plate fee of $49.09.
- Deluxe 2-inks. Two spot colors, such as the logo in one and the years in another. From 100 units. One-off plate fee of $98.18.
A colored napkin in your corporate color with the anniversary logo in a contrasting ink is a strong look. Colored napkins always use Deluxe printing. If your design uses a historic photo, choose Full Color on white.
Every design starts with a free digital mock-up within 24 hours, with up to two rounds of revisions. Your marketing team approves before anything is printed.
Timing: when to order custom napkins for company anniversaries
The napkins are rarely the hardest part of an anniversary. They can still become a last-minute problem if the design approval drags.
- Six to eight weeks before: finalize the anniversary logo and the guest estimate, and request the sample pack (it travels by FedEx and clears customs like any order).
- Five to six weeks before: request the mock-up and approve the design.
- Production and shipping: Production takes 7 business days from proof approval. Shipping adds 1–2 business days (Priority) or about 6 (Economy), plus 1–3 days for US customs clearance. If you can approve the design earlier, 30, 50 or 60 business days of production save 5%, 10% or 15%; for those, approve about 10, 14 or 16 weeks before the event.
- One week before: check the delivery, count the boxes and brief the caterer on where each size goes.
The longest delay is usually internal: waiting for sign-off on the logo. Approving early lets you choose a longer, cheaper production slot and still have the napkins well ahead of the date.
Companies also ask about paperwork. Napki charges no sales tax, because the order is exported from Spain. Import duties, the Merchandise Processing Fee and any state or local taxes are paid by the buyer on arrival (DAP). If a caterer runs the event, the catering napkins page explains how to coordinate the order with them.
Beyond the party: other places for the anniversary napkin
The celebration dinner is only one moment of an anniversary year. Many companies spread the theme across several events, and the same napkin design can follow.
- Coffee breaks at trainings and conferences held during the anniversary year.
- Trade shows and booths, where the anniversary logo greets visitors at the counter.
- Welcome packs for clients or new employees, with a few napkins alongside the gift.
- The Christmas dinner, which often closes the anniversary year.
With Deluxe printing, the plate from the first order is reused free of charge on every reorder of the same design. A second or third order during the year then costs no extra setup.
