How Far Ahead to Order Custom Napkins for a Wedding, Starting From the Date Nobody Writes Down
Most couples ask how far ahead to order custom napkins for a wedding. Then they count back from the wedding day.
That is the wrong starting point. The wedding date is fixed, so it feels like the anchor. But the napkins never see it.
The clock that matters starts on a different day. It sits in the middle of your planning, between the dress fitting and the seating chart.
Nobody puts it on the checklist. Yet every other napkin date depends on it, including the day the box lands at your door.
Below you will find that date, a week-by-week calendar built around it, and a worked example for a June wedding. You will also see the choices that quietly add or remove days.
What date should you plan custom wedding napkins around?
Plan around the day you approve the design proof. With Napki, delivery takes 10 business days from proof approval with FedEx Priority, or about 14 to 16 with Economy. US customs clearance is included in that count. So approve the proof four to five weeks before the wedding, and start the design about two weeks earlier.
Everything before approval is design time. Everything after it is delivery time. The wedding date only tells you how much buffer is left at the end.
That is why “order six weeks ahead” can be right for one couple and late for another. A couple who approves the first mock-up in a day gains a week. A couple who changes the monogram three times loses one.
How the proof date controls the rest of the calendar
Napki’s process has two halves, and only the second one runs on a fixed clock.
The first half is design. You send names, a date, a monogram or a photo. Napki’s team sends a free digital mock-up within 24 hours. You get up to 2 rounds of revisions included. Design is free, and so is the mock-up.
The second half starts when you approve that mock-up and pay. From that moment, the delivery count begins. You choose the FedEx service:
| FedEx service | Delivery from proof approval | Small box | Large box |
|---|---|---|---|
| Priority | 10 business days | $184.00 | $224.25 |
| Economy | About 14 to 16 business days | $138.00 | $161.00 |
Both counts include US customs clearance. Shipping covers the 48 contiguous states at a flat rate per box. Alaska, Hawaii and Puerto Rico are quoted separately.
One more rule matters for planning. There is no express service for US orders. If the calendar is tight, Priority is the fastest option, and it is still 10 business days.
How far ahead to order custom napkins for a wedding, week by week
Use this as a template. Adjust the weeks if your design is simple or your venue needs the napkins early.
- 8 weeks out: decide what goes on the napkin. Names, date, monogram, a photo or a short line. Pick the size and the paper. Our napkin sizes guide shows open and folded dimensions.
- 8 weeks out: order a physical sample if you want one. The sample is free; you pay its FedEx shipping as one small box. Feel the papers before you choose.
- 6 weeks out: send your brief and get the first mock-up. It arrives within 24 hours. Share it with your partner or planner the same day.
- 5 to 6 weeks out: use your 2 revision rounds. Check spelling of names, the date format and colors.
- 5 weeks out: approve the proof (Economy). About 14 to 16 business days later, the box arrives.
- 4 weeks out: approve the proof (Priority). 10 business days later, the box arrives.
- 2 weeks out: napkins in hand. Count them, store them flat and dry, and hand them to your planner or venue.
Notice what the calendar protects. The final two weeks are buffer. Weddings collect last-minute surprises, and napkins should not be one of them.
Worked example: a Saturday wedding on June 12, 2027
Here is the calendar applied to a real date. The numbers follow Napki’s published delivery counts.
The couple wants 20×20 cm cocktail napkins for the welcome drinks. Open, that is about 7.9 × 7.9 inches. Folded in four, it is about 3.9 inches square. They want a full-color photo of the two of them, so they choose Full Color on white paper.
- Mid-April 2027: they request the free sample and send their photo and names.
- Late April: the first mock-up arrives within 24 hours. They use one revision round to adjust the font.
- Monday, May 10, 2027: they approve the proof and pay, choosing FedEx Priority.
- Monday, May 24, 2027: that is 10 business days later. The napkins are delivered.
That leaves almost three weeks before the wedding. If they had picked Economy, delivery would land around 14 to 16 business days after May 10. That still lands at least ten days before the big day.
Either way, the couple never had to guess. One date, May 10, decided everything.

Which choices add days, and which ones save them?
Some decisions change the design phase. None of them change the delivery count after approval.
Choices that save days:
- Final names and date ready on day one. No back-and-forth on spelling.
- A clear reference. A photo of your invitation, a color sample or your monogram file speeds up the first mock-up.
- One decision-maker. Mock-ups shared with six relatives come back with six opinions.
Choices that need extra lead time:
- Deluxe with spot colors. Deluxe prints 1 or 2 inks and works on white or colored napkins. Each ink needs its own printing plate, at $49.09 per ink, paid once per design. Deluxe starts at 100 units.
- Several napkin designs. A cocktail napkin and a dinner napkin are two mock-ups to approve.
- Waiting for the sample. If you want to touch the paper first, order the sample before you start the design.
Full Color starts at just 20 units, prints photos and gradients, and has no plate fee. It only prints on white napkins. That makes it the simplest route for photo napkins on a tight schedule.
Sizes and papers for a wedding, in inches
Napki lists sizes as open dimensions in centimeters. Most napkins are folded in four, so the folded square is half of each side. Here is the conversion for US planning.
| Napki size | Open (approx. inches) | Folded in four (approx. inches) | Typical wedding use |
|---|---|---|---|
| 20×20 cm | 7.9 × 7.9 | 3.9 × 3.9 | Cocktail hour, welcome drinks |
| 24×24 cm | 9.4 × 9.4 | 4.7 × 4.7 | Bar, cake table |
| 30×30 cm | 11.8 × 11.8 | 5.9 × 5.9 | Small dinner, brunch |
| 33×33 cm | 13 × 13 | 6.5 × 6.5 | Standard dinner |
| 40×40 cm | 15.7 × 15.7 | 7.9 × 7.9 | Large dinner, formal seating |
Watch one trap. A “20×20” napkin can mean the small cocktail napkin or a 40×40 dinner napkin folded to 20×20. Napki asks which one you mean before quoting.
For paper, the wedding napkins page names Airlaid, a cloth-like paper, as the wedding favorite. You can compare all four papers on our paper qualities page.
How shipping boxes affect a wedding order
Napki always ships your order in the smallest box it fits in. How many napkins fit depends on size and paper.
For example, a small box holds up to 2,000 cocktail napkins in 20×20 cm on 2-ply paper. The same small box holds 500 dinner napkins in 33×33 cm on 2-ply. A 3-ply 33×33 order of 250 also fits in a small box.
Most weddings combine cocktail and dinner napkins. Ask for both in the same quote. Napki works out the box count, so you see the full shipping cost before you approve.
Two cost notes help with the budget. Napki adds no tax to the invoice, because the order is an export from Spain. Orders ship DAP, so US import duties, the Merchandise Processing Fee and any state or local taxes are paid on arrival.
Frequently asked questions
How far ahead should we order custom napkins for a wedding?
Start the design about six weeks before the wedding. Approve the proof four weeks out with FedEx Priority, or five weeks out with Economy. Delivery takes 10 business days with Priority or about 14 to 16 with Economy, customs included.
Is there a rush or express option?
Not for US orders. FedEx Priority is the fastest service, with delivery in 10 business days from proof approval. If your date is closer than that, tell Napki before you order.
Can you guarantee the delivery date?
Napki’s published counts include US customs clearance. No shipper can promise an exact customs date, so plan a buffer of one to two weeks before the wedding.
What is the minimum order for wedding napkins?
20 units in Full Color, which prints photos on white napkins. Deluxe, for 1 or 2 spot colors on white or colored napkins, starts at 100 units.
Can we see the napkins before ordering?
Yes. Napki sends a free physical sample pack with 5 napkins in 3 finishes. The sample is free; you pay the FedEx shipping as one small box, Economy $138.00 or Priority $184.00.
What if we spot a typo after approving the proof?
Check names and dates carefully before approval, because printing follows the approved mock-up. If the printed napkins do not match the approved mock-up, Napki reprints them free of charge.
Do we pay taxes on the order?
Napki charges no US sales tax. Orders ship DAP. Import duties, the Merchandise Processing Fee and any state or local taxes are paid by the buyer on arrival.
