Custom Napkins for Graduation Parties: Why Ordering Early Pays Off

October 25, 2026 · Napki Admin

Custom napkins for graduation parties are usually ordered in May. That is the expensive way to do it.

Prices do not jump in spring. A late order simply gives up something an early order gets for free.

Graduation dates are known months ahead. The name is known. So are the school colors.

That makes a grad party one of the few events you can plan a full season in advance. And Napki rewards that kind of planning in a very concrete way.

Here is what changes when you approve the design early. Then, how to plan the napkins from first idea to party table.

What are custom napkins for graduation parties?

Custom napkins for graduation parties are printed paper napkins with the graduate’s name, the class year, school colors or a photo. Napki prints them from 20 units in Full Color or 100 in Deluxe. Standard delivery takes 10 business days from proof approval with FedEx Priority, or about 14–16 with Economy, US customs clearance included.

Most grad parties are open houses or backyard gatherings. Guests come and go, eat standing up and hold a drink. Small cocktail napkins and medium napkins do most of the work.

A seated dinner for close family is the exception. There, a dinner napkin fits better.

Why does ordering early pay off?

Napki offers longer production times with a discount. Choose 30, 50 or 60 business days of production instead of the standard window. The product then costs 5%, 10% or 15% less. The discount applies to the napkins, not to shipping or printing plates.

Production time Discount on the product Approve the proof roughly
Standard (10 business days delivered with Priority)none3 to 5 weeks before the party
30 business days5%2 months before
50 business days10%3 months before
60 business days15%4 months before

The last column is a planning guide, not a promise. Shipping and customs still come after production. Add a buffer of a week or two on top.

For a party in early June, a February proof date fits the 60-day option. For a May party, aim for January.

There is no express service for US orders. Planning early is the only lever on timing, and here it is also a lever on cost.

What should you print on graduation napkins?

Print one idea that reads at a glance. A folded napkin shows a quarter of its surface. Put the design there.

The classic choices for a grad party:

  1. “Class of 2027” with the graduate’s first name.
  2. The school initials or mascot colors, as a simple block design.
  3. A photo of the graduate, printed in Full Color on white napkins.
  4. A short line, such as “Congrats, grad” or “The tassel was worth the hassle”.
  5. Two names for a joint party, when siblings or friends celebrate together.

Use only words and symbols you are allowed to print. A school logo or mascot may be a protected trademark. If in doubt, use the colors and the class year instead.

Read the name twice before you approve. Then read the year. Both get printed on every napkin.

Full Color or Deluxe: which fits school colors?

Choose Full Color for photos and designs with three or more colors. It prints on white napkins only, from 20 units, with no printing plate. Choose Deluxe to print one or two school colors on a colored napkin, from 100 units.

School colors are where this choice matters most. A gold name on a colored napkin needs Deluxe, because Full Color requires a white base. A photo of the grad in their cap needs Full Color.

Plates are paid once per design. The printing inks page has the full decision matrix. The Full Color napkins page shows how photos print on napkins.

Which size and paper should you pick?

Open houses favor small napkins. A seated dinner favors larger ones. Many families order a cocktail napkin for the snack table and nothing else.

  • 20×20 cm open (about 3.9 in folded): drinks, chips, cupcakes.
  • 24×24 cm open (about 4.7 in folded): close to the US beverage napkin. A good all-rounder.
  • 30×30 cm open (about 5.9 in folded): a small lunch napkin for a buffet.
  • 33×33 cm open (about 6.5 in folded): standard dinner napkin for a seated meal.
  • 40×40 cm open (about 7.9 in folded): large dinner napkin for a formal family dinner.

The napkin sizes guide shows open and folded sizes. Watch for one mix-up: “20×20” can also mean a 40×40 cm napkin folded to 20×20 cm.

For paper, 2-ply suits a backyard party with plenty of food. 3-ply is thicker and more absorbent, useful near a drinks cooler. Double Point adds an embossed border, and Airlaid feels close to fabric. The paper qualities page compares the four.

How many napkins, and how much is shipping?

Count the moments a guest picks up a napkin: a drink, a plate of food, dessert. Multiply by the number of guests you expect, then round up. Open houses often draw more people than the RSVP list, so a spare stack is useful.

Shipping is charged per FedEx box, not per napkin, and how many napkins fit in a small or large box depends on the size and paper quality. Rates cover the 48 contiguous states. Alaska, Hawaii and Puerto Rico are quoted separately.

Box Napkins per box FedEx Economy FedEx Priority
SmallDepends on size and paper$138.00$184.00
LargeDepends on size and paper$161.00$224.25

A worked example. A family plans an open house in early June for about 120 guests. They estimate three napkins each and order 400. The 24×24 cm napkins come in the main school color, with the name and “Class of 2027” in gold. That is Deluxe 1 ink, with one plate at $49.09. They approve the proof in February and choose 60 business days of production, so the napkins cost 15% less. The order fits one small box, shipped by Economy.

Orders ship DAP. Napki charges no VAT, because the order is an export. The buyer pays import duties, the Merchandise Processing Fee and any state or local taxes on arrival.

Can you check the design and the paper first?

Yes. Design is included at no extra cost. You receive a free digital mock-up within 24 hours, with up to 2 rounds of changes, and you only pay if you go ahead.

To feel the paper, request the free sample pack: 5 printed napkins in 3 finishes plus a printed size guide. The sample is free; you pay only the FedEx shipping as one small box, Economy $138.00 or Priority $184.00.

If the napkins do not match the approved mock-up, Napki reprints them free of charge. The custom napkins page shows the full range.

Frequently asked questions

What is the minimum order for graduation napkins?

20 units in Full Color on white napkins. Deluxe, for colored napkins and metallic inks, starts at 100 units.

How much do I save by ordering early?

Choosing 30, 50 or 60 business days of production takes 5%, 10% or 15% off the napkins. Shipping and printing plates are not discounted.

Can you print our school colors on a colored napkin?

Yes, with Deluxe printing in 1 or 2 inks. Full Color prints on white napkins only.

Can I put a photo of the graduate on the napkins?

Yes. Photos print in Full Color on white napkins, from 20 units, with no plate fee.

Is there a rush option for a party next week?

No. Napki has no express service for US orders. Standard delivery takes 10 business days with FedEx Priority, or about 14–16 with Economy.

Who pays duties when the box arrives?

The buyer. Orders ship DAP, so import duties, the Merchandise Processing Fee and state or local taxes are paid on arrival. Napki charges no VAT or sales tax.

Can we print two graduates on one design?

Yes. Send both names and the team builds one layout. It counts as one design, so in Deluxe you pay one plate per ink, once.

Pick the party date, then send the name this winter

The graduation date is already on the calendar. Count four months back and you have the proof date that unlocks the largest discount.

Send the graduate’s name, the class year and the school colors today. A free digital mock-up arrives within 24 hours, with up to 2 rounds of changes. You only pay if you go ahead. Napki prints at its own facilities in Spain and has made custom napkins since 1986.
