Custom Napkins for Corporate Holiday Parties: The Date That Decides Everything

October 28, 2026 · Napki Admin

Custom napkins for corporate holiday parties are rarely a budget problem. They are a calendar problem.

The venue gets booked in September. The caterer gets confirmed in October. The napkins get remembered in December.

By then, one quiet date has already passed. It is not the party date. It is not the shipping date either.

It is the day someone on your team clicks “approve” on the design proof. Everything else is counted from there.

Below you will find that date for your own party, worked backwards day by day. Then the design, size and quantity choices that make the napkins look like your brand, not like a party store.

When should you order custom napkins for corporate holiday parties?

Approve the design proof about four weeks before the party. Delivery takes 10 business days from proof approval and payment with FedEx Priority, or about 14–16 with Economy, US customs clearance included.

Four weeks leaves room for the design rounds and a few spare days. Those spare days matter in December.

Here is why. Production counts business days, and public holidays at the factory in Spain do not count. Customs dates are never guaranteed by anyone, Napki included. A buffer turns a tight plan into a calm one.

There is also no express service for orders shipped to the United States. The 10 business days with Priority are the fastest option. So the proof date is the only lever you really control.

A worked example: a party on Friday, December 11

Let’s put real dates on it. Say your office party is on Friday, December 11, 2026.

  1. Send the logo and party details: by early November. The first digital mock-up arrives within 24 hours.
  2. Review and request changes: up to 2 rounds of revisions are included. Allow a few days for internal sign-off.
  3. Approve the proof and pay: by Friday, November 13. Production starts here.
  4. Delivery with FedEx Economy: about 14–16 business days, US customs clearance included. The box should reach you around December 7.

That leaves a few business days of margin before the party. Thanksgiving week falls inside this window, which is one more reason for the buffer.

Choose FedEx Priority and the same plan can start about four business days later. Priority costs more per box, so it works best as a rescue option, not the default.

Party in the first week of December? Move every step one week earlier. Approve by the first week of November.

Which design works on a holiday party napkin?

A logo plus one short seasonal line works best. Guests see the napkin for seconds, usually with a drink in the other hand.

Napki’s in-house design team builds the layout for free. Send your logo file, brand colors and the party name. Your marketing team approves the mock-up before anything is printed.

A few ideas that hold up well in a busy room:

  • Logo and year: the company logo with “Holiday Party 2026” underneath. Simple, and it photographs well.
  • Tagline from the year: a line from your annual kickoff or a campaign that landed well.
  • Team or office name: useful when several offices hold separate parties.
  • Event hashtag: if the comms team wants guests to post photos.
  • Client appreciation version: a quieter design with only the logo, for parties where clients attend.

Keep the text short. A napkin is not a flyer. One logo and one line is usually the ceiling.

You can see more branded layouts on the corporate event napkins page.

Full Color or Deluxe for your company colors?

The choice depends on your logo and the napkin color you want. Napki prints with two systems.

Full Color Deluxe 1 ink Deluxe 2 inks
Best forMulticolor logos, gradients, photosOne-color logoLogo plus tagline in two colors
Napkin colorWhite onlyWhite or coloredWhite or colored
Minimum order20 units100 units100 units
Printing plateNone$49.09, one-off$98.18, one-off
Reorders, same designNo plate neededPlate reused freePlates reused free

Full Color is digital CMYK printing. It only works on white napkins, because the process needs a white base.

Deluxe is Napki’s own spot-color system. Each ink uses a printing plate, made once per design. Napki matches your Pantone reference on paper, so the brand red stays the brand red.

Want the logo on a dark or colored napkin for an evening event? That is a Deluxe job. Want a full-color logo on white? Full Color is simpler and has no plate fee.

The printing inks guide has a decision matrix if your logo sits between the two.

Which napkin sizes does a holiday party need?

Most corporate holiday parties need two sizes: a cocktail napkin for the reception and a dinner napkin for the meal.

Moment Size (open) Folded size Folded, in inches (approx.)
Welcome drinks, passed appetizers20×20 cm10×10 cmabout 4 × 4 in
Bar and standing buffet24×24 cm12×12 cmabout 4.7 × 4.7 in
Light lunch or dessert table30×30 cm15×15 cmabout 6 × 6 in
Seated dinner33×33 cm16.5×16.5 cmabout 6.5 × 6.5 in
Formal gala dinner40×40 cm20×20 cmabout 8 × 8 in

One warning from the napkin sizes guide. “20×20” can mean two different products. A small cocktail napkin is 20×20 cm open. A large dinner napkin is 40×40 cm open and 20×20 cm folded. Always say which fold you mean.

Paper quality matters too. 2-ply is the everyday standard. 3-ply feels thicker and works for client-facing events. Airlaid feels close to fabric and suits a formal gala.

How many napkins should the company order?

Count by service moment, not only by headcount. A standing reception uses far more napkins per guest than a seated dinner.

Planners usually allow several cocktail napkins per guest for a reception with drinks and appetizers. Then add one dinner napkin per seat. Add a margin for late RSVPs and spills.

Then check the box. FedEx shipping from Napki is priced per box:

  • Small box: $138.00 Economy or $184.00 Priority.
  • Large box: $161.00 Economy or $224.25 Priority.

How many napkins fit in each box depends on the size and paper quality. A party for 120 people might land close to a box limit. Ask the team how many boxes your size and paper need, and whether a few extra napkins would add a box, and whether that is worth it. Sometimes it is, if the leftovers can serve a January kickoff.

Ordering for several offices? One design across all of them counts as one plate per ink in Deluxe. Napki confirms that the same lead time applies to events with 1,000+ guests.

Who pays duties and taxes on a corporate order?

Your company does, on arrival. Napki ships DAP (Delivered at Place).

The price you pay Napki covers production, FedEx shipping and export clearance in Spain. On arrival, the buyer pays import clearance, duties, the Merchandise Processing Fee and any state or local taxes. Napki charges no VAT and no US sales tax, because this is an export.

For a finance team, that means two payments: Napki’s invoice, and the import charges when the box lands. Flag this to accounts payable early. A held box waiting for payment eats into your buffer.

Shipping covers the 48 contiguous states at a flat rate per box. Offices in Alaska, Hawaii or Puerto Rico get a separate quote.

If you want to feel the paper before committing, Napki sends a free sample pack. It holds 5 printed napkins in 3 finishes plus a size guide. The sample itself is free; you pay the FedEx shipping as one small box ($138.00 Economy or $184.00 Priority). Order it this week, because it follows the same customs path as the real order.

Common mistakes with holiday party napkins

  1. Waiting for the final headcount. Order on your best estimate plus a margin. The count will move until the last day.
  2. Approving the proof late. The mock-up is fast. Internal sign-off is slow. Name one approver.
  3. Too much text. A paragraph on a napkin cannot be read. Logo plus one line.
  4. Wrong fold. “20×20” without saying cocktail or dinner leads to the wrong product.
  5. Forgetting import charges. Under DAP they arrive with the box. Budget for them.
  6. Ordering napkins for one party only. A neutral logo design can serve client events all year. In Deluxe, the plate is reused free on reorders.

Frequently asked questions

What is the minimum order for custom holiday party napkins?

20 units in Full Color on white napkins. Deluxe, for colored napkins or spot colors, starts at 100 units.

How late can we order napkins for a December party?

Aim to approve the proof about four weeks before the party. Delivery takes 10 business days with FedEx Priority, or about 14–16 with Economy, US customs clearance included. There is no express service for US orders.

Can you match our exact brand color?

Yes. Send your Pantone reference or brand guidelines. Deluxe prints spot colors matched to your reference.

Is the design really free?

Yes. Napki’s team designs the napkin at no extra cost, with up to 2 rounds of revisions. You only pay if you go ahead with the order.

Do you charge sales tax?

No. Napki charges no VAT and no US sales tax. Orders ship DAP. Import duties, the Merchandise Processing Fee and any state or local taxes are paid by the buyer on arrival.

What if the printed napkins do not match the approved mock-up?

Napki reprints them free of charge. That is the reprint guarantee stated on napki.com.

Can we use the same design next year?

Yes. With the same design and print size, Deluxe reorders reuse the plate at no extra cost.
