How Many Cocktail Napkins per Guest? Count This Instead of Heads

October 30, 2026 · Napki Admin

How many cocktail napkins per guest you need has little to do with the guest list.

Two parties with the same 100 guests can use very different amounts. One runs out by nine. The other ships half a box back to the office.

The difference is not appetite. It is not the weather either.

It is a number most hosts never write down. Once you count it, the napkin order almost writes itself.

This guide shows you what to count and gives you a ready table from 50 to 500 guests. Then it explains one detail about custom napkins that changes the final number.

How many cocktail napkins per guest do you really need?

Plan one cocktail napkin for every drink and every bite a guest is likely to take. Party planning guides usually land on 3 to 4 cocktail napkins per guest for a two-hour reception. Long receptions, buffets and open bars need more. Add a 10% margin for spills and late arrivals.

That rule of thumb is a starting point. The real driver is what we call napkin moments.

A napkin moment is any time a guest reaches for a napkin. A drink from the bar. A tray of passed appetizers. A slice of cake. A coffee at the end.

Count the moments in your event, and you have your number per guest.

What is a napkin moment, and how do you count it?

A napkin moment is one serving that puts something in a guest’s hand. Each one usually uses one cocktail napkin.

Walk through your event in order and list them:

  1. Welcome drink. Almost every guest takes one. That is 1 napkin.
  2. Each extra round at the bar. Guests rarely keep the first napkin. Count 1 per expected drink.
  3. Passed appetizers. Count 1 per round of trays, if most guests take something.
  4. Food stations or buffet. Guests go back more than once. Count 1 or 2 per guest.
  5. Dessert or cake. If it is served without plates and dinner napkins, count 1.
  6. Late-night snack or coffee. Count 1 if you plan one.

Add the moments up. A two-hour reception with a welcome drink, one more drink and two rounds of appetizers is about 4 moments. That matches the usual rule of thumb.

A four-hour party with an open bar, a station and a late snack can reach 6 or more.

Seated dinners work differently. Each guest gets one dinner napkin at the table. Cocktail napkins then cover only the reception and the bar.

Ready reckoner: cocktail napkins for 50 to 500 guests

Use the table below as a first estimate. Then adjust with your own napkin moments.

Guests Short reception (3 per guest) Standard reception (4 per guest) Long party (6 per guest)
50150200300
100300400600
150450600900
2006008001,200
3009001,2001,800
5001,5002,0003,000

These totals do not include the 10% margin. Add it once you have your figure.

Leftovers are not wasted if the napkins are generic. With a printed name and date, they are. That is why counting matters more for custom napkins than for plain ones.

Why does the count matter more for custom napkins?

Custom napkins cannot be topped up on the day. Plain napkins can be bought at any store the morning of the party. Printed napkins take time.

At Napki, delivery to the 48 contiguous states takes 10 business days from proof approval with FedEx Priority, or about 14–16 with Economy, US customs clearance included.

So running short is not fixable. Ordering a few more is the safer side of the mistake.

There is a second reason. Napki ships per box, and how many napkins fit in a box depends on their size and paper quality:

  • Small box: Economy $138.00, Priority $184.00.
  • Large box: Economy $161.00, Priority $224.25.

This changes the math at the quantity steps. A 120-guest reception at 4 per guest is 480 napkins. Add 10% and you reach 528. A margin like that can add a box, so check how many boxes your size and paper need before you settle on it.

Is the extra margin worth it? For a wedding, usually yes. For an office drinks evening, maybe not. The point is to decide on purpose, not by accident.

Each size and paper quality has its own capacity per box, so check the cocktail napkins and the dinner napkins separately.

Which cocktail napkin size and paper should you choose?

For drinks and finger food, choose a 20×20 cm or 24×24 cm napkin. Napki sizes are always given open; most napkins are folded in four.

Size (open) Folded Folded, in inches (approx.) Best for
20×20 cm10×10 cmabout 4 × 4 inCocktails, finger food, welcome drinks
24×24 cm12×12 cmabout 4.7 × 4.7 inBars, cafes, heavier appetizers
33×33 cm16.5×16.5 cmabout 6.5 × 6.5 inStandard dinner napkin
40×40 cm20×20 cmabout 8 × 8 inLarge dinner, weddings, fine dining

Watch the “20×20” label. The napkin sizes guide explains that it can mean a small cocktail napkin or a large dinner napkin folded. Say which one you mean when you order.

Paper changes the count too. A thin napkin gets swapped more often. Napki offers four qualities, described on the paper qualities page:

  • 2-ply: the everyday standard, standard absorbency.
  • 3-ply: thicker and more absorbent.
  • Double Point: 2-ply with an embossed border that keeps the layers together.
  • Airlaid: cloth-like, with excellent absorbency. A favorite for weddings.

With 3-ply or Airlaid at a messy buffet, you may sit at the lower end of your estimate. With 2-ply at an open bar, plan for the upper end.

Three worked examples

A 60-guest bridal shower. Welcome drink, brunch buffet, cake. That is about 4 moments. 60 × 4 = 240, plus 10% = 264. In Full Color, the minimum is only 20 units, so a short run is fine.

A 150-guest wedding cocktail hour. Signature drink, two drinks after, three rounds of passed appetizers. About 5 moments for the hour. 150 × 5 = 750, plus 10% = 825. How many boxes that takes depends on the size and paper you pick. Dinner napkins for the tables go in the same order.

A 300-person company party. Open bar for three hours, two food stations, dessert. About 6 moments. 300 × 6 = 1,800, plus 10% = 1,980. As with any order, the number of boxes depends on the size and paper you pick.

Common counting mistakes

  • Counting heads, not moments. The guest list tells you who comes. The menu tells you how many napkins.
  • Forgetting the bar. Bartenders hand out a napkin with nearly every drink.
  • Ignoring the paper. A thin napkin at a buffet doubles up fast.
  • No margin. Custom napkins cannot be replaced on the day.
  • Ordering below the minimum. Deluxe printing starts at 100 units. For tiny runs, Full Color starts at 20.

Frequently asked questions

How many cocktail napkins do I need for 100 guests?

For a standard two-hour reception, plan about 400, plus a 10% margin. For a long party with an open bar, plan 600 or more.

How many cocktail napkins does a wedding need per guest?

Count the moments of your cocktail hour and reception. Many weddings land at 4 to 5 per guest, plus one dinner napkin per seat.

What is the minimum order for custom cocktail napkins?

20 units in Full Color on white napkins. Deluxe printing, which also works on colored napkins, starts at 100 units.

Is it better to order too many or too few?

Too many. Printed napkins arrive 10 business days after proof approval with Priority, or about 14–16 with Economy, so a shortfall cannot be fixed on the day.

Do cocktail and dinner napkins ship in separate boxes?

It depends on the size and paper quality. How many napkins fit in a box differs for each, so check how many boxes your sizes and papers need. A small box is $138.00 Economy or $184.00 Priority and a large box $161.00 or $224.25.

Can I feel the paper before I decide the quantity?

Yes. Napki’s free sample pack has 5 printed napkins in 3 finishes. The sample is free; you pay the FedEx shipping as one small box.

Who pays duties when the napkins arrive?

The buyer. Napki ships DAP, so import duties, the Merchandise Processing Fee and any state or local taxes are paid on arrival. Napki charges no VAT or sales tax.
