Personalised Wedding Napkins: Designs, Sizes and How Many to Order

Personalised wedding napkins are one of the few details guests handle all day. They sit under the welcome drink, they travel to the dinner table, and a surprising number end up in someone’s pocket as a keepsake. For a detail that costs cents per guest, that is remarkable reach.
The decisions behind them are straightforward once you know the vocabulary. This guide covers what you can actually print, which size belongs at the cocktail hour and which at dinner, why Airlaid keeps winning wedding orders, how many units to buy for your guest count, and how far ahead to place the order. What you can print on a wedding napkin
Almost anything, within one technical rule explained further down. The designs that recur most often at our press:
- Names and date — the classic. Two first names, the wedding date, sometimes a venue.
- A monogram — initials combined into a single mark. Elegant on a large dinner napkin.
- A photo — a picture of the couple, printed in full colour on a white napkin.
- An illustration — a line drawing of the venue, a botanical motif, a pet.
- A short phrase — a thank-you line, a hashtag, a shared in-joke that guests will recognise.
- A matching set — the same mark carried across napkins, coasters, cups and cutlery.

Which size for which moment
Napkin sizes are quoted as open dimensions in centimetres. The size guests see is the folded one, normally a quarter of the open sheet. Most weddings use two sizes, not one.

The pairing that works for most receptions: 20×20 cocktail napkins for the drinks reception and 30×30 or 33×33 for the seated meal. If your dinner service is formal, step up to 40×40.
One trap worth knowing. “20×20” is ambiguous — it describes both the small cocktail napkin (20×20 open, 10×10 folded) and the large dinner napkin (40×40 open, 20×20 folded). Why Airlaid is the wedding favourite
Four paper qualities are available, and weddings gravitate to one of them.
- 2-ply — two tissue layers, standard absorbency, the most affordable tier. Fine for high-volume drinks service.
- 3-ply — three layers, thicker and more absorbent. A visible step up for the dinner table.
- Double Point — 2-ply with an embossed border on two opposite edges that adds texture and stops the layers separating. The sit-down restaurant standard.
- Airlaid — a specialty non-woven paper that feels and drapes almost like fabric. Excellent absorbency, soft on the skin, clearly the most premium of the four.
Airlaid is the one guests notice. It behaves like cloth in the hand, which is exactly the impression a wedding table is trying to make, and it costs more than the other three qualities — typically €0.40 to €1.50 per unit depending on size and quantity. A common compromise is Airlaid at dinner, where the napkin sits on the plate and gets photographed, and 2-ply or Double Point at the drinks reception, where volume is high and napkins are used briefly. To be clear about what we make: these are premium printed paper napkins. We do not sell cloth or embroidered napkins — Airlaid is the closest thing to fabric in our range, and it is the finish most couples choose after handling a sample.
The one technical rule: colour of napkin versus colour of print
This decides more wedding orders than any other factor.
Full Colour is digital CMYK printing. It reproduces photographs, gradients and designs with three or more colours, carries no plate fee, and starts from just 20 units. The constraint: it prints on white napkins only, because the CMYK process needs a white base. It is available on 2-ply, 3-ply, Double Point and Airlaid.
Deluxe prints spot colours using a metal cliché. Deluxe 1-ink gives one saturated colour with very crisp edges on white or coloured napkins, from 100 units, with a one-off plate fee of €42.69. Deluxe 2-inks prints two spot colours — a monogram in one and a date in another, for instance — from 100 units, with a plate fee of €85.38.
So the rule in practice: if you want a photo of the couple or a watercolour illustration, you are printing Full Colour on a white napkin. If you have set your heart on a sage green or burgundy napkin with gold initials, you are printing Deluxe. There is no version of digital CMYK that works on a dark napkin. How many wedding napkins to order
Guests use more napkins than couples expect, because a wedding is not one meal — it is a drinks reception, a dinner, a cake and often a late-night snack.
A workable method:
- Start from the confirmed guest count, not the invitation count.
- Allow 2 napkins per guest for the drinks reception. Canapés get messy and people take fresh ones.
- Allow 2 napkins per guest for dinner, including the cake service.
- Add 15% margin. Napkins get dropped, stacked in handfuls and taken home.
- Round up to the next price tier, since unit costs step down with volume.
Worked example, 120 guests. Reception: 120 × 2 = 240 cocktail napkins. Dinner: 120 × 2 = 240 dinner napkins. Add 15%: about 280 of each. Round up and you order 300 cocktail 20×20 in Full Colour and 300 dinner 33×33 in Airlaid. That lands comfortably above the 100-unit Deluxe minimum if you later switch to a coloured napkin.
Smaller weddings are not a problem. The minimum is 20 units on Full Colour, so an intimate ceremony of 30 people can print exactly what it needs, with no case of unused napkins left over.
Planning the timeline
Production and delivery take 7 working days from mock-up approval, anywhere in the EU. That is the fast lane, and it exists — but building your schedule around it is a needless risk when longer lead times are cheaper:
- 7 working days — standard, no discount
- 15 working days — 5% discount
- 20 working days — 10% discount
- 30 working days — 15% discount
Add time before that for the parts you control: sending your idea, reviewing the first mock-up (delivered within 24 hours), and requesting a physical sample if you want one (48-72 hours plus shipping).
A sensible plan for a wedding: request the sample pack about three months out, approve the artwork six to eight weeks out, and order on the 30-day lead time. You get the largest discount and a comfortable buffer. If you are working to a tighter deadline, the 7-day option is still there.
